Is it possible to reverse the order of my Notes? The flow is currently Oldest Note to Newest Note. So if I have three pages of notes I cannot easily see the latest notes entered.

You can create different templates for invoice module and use the templates while sending emails from invoices.

The feature for listing the products based on catagory is currently not available in our CRM System. We will implement it in our future updates .

Can you also provide some more fields like "Created By" and "Modified By" parameter values as this values can used in further record creation ?

As the Created By field indicates the owner name of the Zoho account holder. Therefore this field value is needed to be user to create a new record through and API call.

@ Vivek - We don't change the amount based on the stages. We change only "expected amount", because stages are tagged with probability and expected review is calculated based on probability & amount.

Once the leads are converted we still show under leads. However, when you click on it, we say that lead has been already converted. We cannot show in leads as well as accounts/contacts & potentials. The use case will not work out.

@ Ayesha: You can create a additional custom field under "contacts" as "Contact type" and categorize it based on your business process. To add the custom field, goto setup--->contact settings--->field list--->add new custom field--->select pick list as a field type and add the values.

This will show up under your contact page layout. You can run reports & create custom views based on these values as well.

I agree with Vivek - There needs to be a way to change the lead status to "closed" and have it automatically generate into a new account. I'm so annoying having to manually "convert" a lead into a new account. Why can't the drop list option "closed" (or whatever you assign it to be), turn the lead into an account?

I second matts request for the ability to email the contacts themselves. This could be used for individual clients as a birthday message, or to inform inactive clients of a discount running for their next order, etc. any idea when something like this might be available or maybe is available with something like the enterprise edition??

Hi, do I understand correctly that currently there is not much to be done in terms of mass email campaigns through ZOHO, tracking and reporting on those mass campaigns?

Hi Selvi and thanks for answer!


If I may continue - is there option in the system which would allow me to have more types of invoices in the CRM (different templates), which one could choose from when going to issue an invoice? And then the products in the invoice - with "Product name lookup", the products are not categorized, which would be pretty usefull once company has hundrets of products in different categories.


And what about the required fields? I have read somewhere else in the blog, that one cannot work with the required fields, but once we dont have use for them on the invoice?


I would love to use Zoho CRM for our businesses, as it is nearest to our requirements. However I would need such "bugs" solved. Is there any company which I could turn on to implement our requirements or is there a partner - developer - programm, which we could get into and do the changes ourselves?

A couple of things:

1. In an opportunity/potential, with the change in the stage of potential i.e. Proposal/Pricequote/negotiation/review etc, the probability of getting the business changes but I am unable to understand why the the amount of the potential should change based on the stage.

2. For Leads which are converted to opportunities or accounts, Doesn't it makes sense to have still in the leads list with status changed to the new one...May be it can be an option based on the user's need...

Hi,

Is it possible to create a CRM usage report to track the number of logins & updates in the system by the individual users. We want to track the numbers along with the last login/update date & time.

We have fixed search problem locally. It will fix in our next update. Kindly bear with us meantime.

About the plugin problem. Please check the following after installation.

1. For Outlook Version 2002.
a. In Outlook go to Help --> About Microsoft Outlook.
b. Click Disable Items and in that dialog check the ZohoCRM in disabled item.
c. If it is disabled, select ZohoCRM and enable it.

2. For Outlook Version 2003
a. Go to Tools --> Options --> click Other tab
b. In Advanced Options dialog click COM Add-Ins buttom locate at bottom the dialog.
c. In COM Add-Ins dialog check for ZohoCRM. If it is not selected please select and click ok. It enables the ZohoCRM tool bar.

3. For Outlook Version 2007
a. Go to Tools --> Trust Center --> click Add-ins.
b. Add-ins dialog check presence of ZohoCRM whether it is in Active Application or it is Inactive Application.
c. If it is in Active Application no problem
d. If it is in Inactive Application, then select COM Add-ins in manage combobox (bottom of the dialog box) and click Go.
e. In COM Add-Ins window select ZohoCRM and click ok. It enables the ZohoCRM tool bar.

After I edit the View in leads (like add Rating to the viewable fields), click save, and then click Lead Source to reorganize by Lead Source, the Rating field that I just added in the view disappears. I think this might just be a glitch, but it is very frustrating.

You can add the Description field to the Inventory template, by editing the HTML content of that template using HTML source button "<>" in the editor. If you are not able to change the HTML, just copy the Terms and Condition section and paste it again. Now change the value to description. It will work.

Dear GC,

Actually, Related List Label is the name which will get displayed in the related list of the parent module. For example, if you are creating a Campaign lookup field for Contacts module, by giving the Related List Label as "Contacts". Then after creating the field, you can see a new Related List in the name "Contacts" in the campaign view page in addition to the default related list say "Attachments, Leads, Potentials etc".

Now, If you create a contact say "A" by choosing a Campaign say "B". Then after creating the contact, if you view that campaign, then you can the contact "A" under the Contacts. Hope this clarifies

Regarding the leads association to a campaign, currently there is no option for associating a bulk of existing leads to a campaign. You have to either create a new lead for that campaign or associate that campaign to a lead. We will definitely try to provide this support in our future updates.

Well. And what about if I want to link f.e. data from Client information into the Invoice template? I can easyli add the information the way you mentioned, hower this way, I am not able to edit those fields in the invoice when creating / editing one.


When I want to issue invoice to my client, I need to have in the invoice pre-filled his details (from Contacts) and not empty billing / shipping adresses if you know what I mean.

While creating Purchase Order , the Quantity in Stock will be increased by the quantity you have ordered (when the PO status is delivered).

While creating Invoice the Quantity in Stock will get decreased by the quantity .

You can manually change the Quantity in Stock while editing the particular product.

From the CSV file Lead Name or Account Name will not be shown in the Notes.CSV. But all the respective ids will be mapped in that file. So when do migrate ( i.e import ) you would see that leads or accounts would be properly mapped to notes.

Sorry about that. When you use the merge fields, from the first drop down select Leads, from the second drop down select first name and then you will have the merge field as ${Leads.First Name}. Copy this value and paste to get the Leads first name.

You can add logo size up to 20k. If your logo size is less than 20k means , no problem, you can add.If you logo size is 323k, you cannot add this logo.

Further on the above topic of assigning "leads" to a specific "lookup campaign" this seels to be very hard to do if leads are on the system already. If I try to edit or clone the entire lead, the page is blank as if i'm editing in a totally new lead! I can see you can edit individual sections that already have data added (i.e. address), but I cant edit something that is lacking data (i.e. my new campaign function).


Does this mean that if I have 1000 leads and I want to start adding them to a campigh (when previously they were not) that I can't do this and I enter in 1000 leads again?

I cant find anywhere when searching your help section what the definitions of all these functions for "field information" are -you definately need this.


It would be great if your system could have a little pop-up when you hover over an icon, explaining in brief what it means (and perhaps allowing you to go immediately to the more detailed explanation in the help section if necessary.


I imagine a lot of people using zoho are using it in the incorrect way because they dont know what something means.

There appears to be a limit of 10 lookup fields that can be added to the contact record. I need toi add 20 that look up the a campaign name in each (as you are currently not able to associate campaigns to contacts), but seem to be only able to add 10. Is this the case?

Hi there - I have exported sections discretely (leads, accounts, notes) as we are a fairly small business.

I have noticed that although I am able to export notes, the resulting .CSV file does not appear to contain any data that cross references between the note and which account or lead the note belongs to.

Have I missed a step, or is the system somehow capable of assigning notes to the correct lead or account upon importation?

I have changed the tab name of Sales Order to "Work Order" so that our service business has a process for the field technicians to do their work. I am looking to E-mail a pdf or print off the order but the description information is missing even though it is required that I put something in the field. I have been trying to find a way to add the description to the output media but can't find any way in the Help.

I don't want to have the technicians to have to have live connections to CRM in order to find the descriptive information they need. TO date I have been putting that info in the Terms section because that does show up.

Currently, there is no API method to retrieve a specific record by giving the id. We will definitely provide this method in our future updates. In the meanwhile, as a workaround you can use getSearchRecords method by giving the searchWord as your account name.

Hi - When I use Outlook Sync to move an Email to a Zoho Contact, it works great. However, when I try to view the email in Zoho, it is extremely difficult to read the email due to formatting issues. There are numerous line breaks, often within words. For example, the name of my contact within an email 'Kevin' shows up as:

The value of lookin at historical emails is completely negated by the inability to read or edit them once they are imported into Zoho. Are there any workarounds? Any plans to fix this?

We have already fixed this issue and updated the site.

There is some specific fields to associate a lead or contact to that task/event. ie.,

If you are give contact name, you have to use <fieldlabel value="Who Id">contact name</fieldlabel> or

<fieldlabel value="CONTACTID">2323232323</fieldlabel> for using the contact id.

For other modules, you have to use

<fieldlabel value="What Id">lead name</fieldlabel> or

<fieldlabel value="SEID">2323232323</fieldlabel>

I spoke with Zoho 1 year ago, they ensured me that under workflow rules, the field update option would be added within 6 months. Well, I'm check back in again, and still nothing, was I mislead? Is there no plans to add this feature? It is the only thing stopping us from moving our 20 Salesforce accounts to Zoho, but the move cannot be made without that feature.

I am new to Zoho but think it's a fantastic product

I would like to do the following if possible:

1) After creating a quote and clicking on "Send Mail" to be able to customise the email that goes out. I have create an email template but cannot see how to use that instead of the default email template that you have to manually enter details every time.

2) Through using the workflow alerts or rules (not sure which one) on sending a quote or an invoice to a customer to automatically send an email with contact merge codes (mobile number, email and firstname) to a predefined email. This goes to our SMS provider so every email "to" field needs to be sms@smsprovider.com for example.

Be great to get this asap as these two would be the major deciding factors in rolling this product out.

We are trying to set up a simple CRM to track the sales of real estate with a resort outisde of the United States and also a U.S. sales office. This is a a B2C application. Our leads either driveby, come over the net or are referred by US brokers. I would like to track the progress of the sales cylce which can take up to a year.

I've been testing ZoHO CRM for the past 2 months and have found it quite good - except for the mailing label situation.

I agree with everyone else here that an upgrade to the mailing label is urgently needed. I'm trying to send out 700 letters today and I'm shocked at how basic [and useless] the current set up is. I was about to buy a subscription but without better mailing label functionality I'll have to look elesewhere as direct snail mail is still one of our main marketing tactics.

And, if you do upgrade the feature fairly soon, Avery 5160 is a must...

How can I keep all of the information contained in a Lead when I convert it to a Account?


It's quite the hassle to re-enter fields like the mailing address, phone number, etc, when a lead is converted. Not to mention some of the other fields we track (SIC code, company revenues, etc.).


Is there a way to automatically transfter this information over when the lead is converted? This is causing duplicative work.

I have been exploring and using both Project and CRM tools.

I initially installed Outlook plug in as the trial but did not get it to work
as it was just part of my testing this was not part of workflow so i didnt chase this. However colleagues are now added as users and we plan to integrate CRM and Projects to production workflow.

So i install latest plug in, pay for upgrade to Professional, enable users and restart machine and outlook. Log in to CRM toolbar and ....

username or password not recognised. Tried multiple times, checked email and username used, checked password. typed them REAL carefully several times. Reset CRM password online and tried again... same message Username or password not recognised. I am using the correct password for Zoho online. it works for all other products.

But when trying to log into the plug in i get the same error.

OS is Vista Ultimate, browser firefox and Chrome (not all functions work in Chrome but its about 3 times faster when run as a Gears app) and i am using Outlook 2007.

Help please. i will update an online CRM and use tasks but unless calendar sync and tasks work in Outlook for my colleagues we will unsubscribe from a system we cant integrate for ALL the team.

Currently we have provided the horizontal sort by First Name. You may try using the search in the Contact box using last name, which will give you all the contacts list by last name.

I've created a custom Contact list, displaying Last Name, Phone, and Email. Yet when I click on the horizontal 'sort by Alphabet' link menu, it is still sorting the contacts by FirstName. I want to be able to order the contacts by last name.

The most common mailing label in the US is the Avery 5160. So you need to support at least that layout. If you don't you may miss alot of customers in the US because that is what they need.

Thank you for that, but I think that you misunderstood my question. When I do what you suggested, certainly the fields Purchase Date and Serial Number are visible, but I need them to be editable. Because this customer has purchase one specific product, with a specific serial number, and I need to know when and which one.

What I really need, I guess, is a customisable tab or the ability to create my own Module. This module would be called "Installed Product". Each Installed Product would have a Customer (Account or Contact) and a Product, with a Purchase Date, Serial Number, Expiry Date of Warranty, and perhaps a lookup to the Sales Order and Invoice that the customer bought it under.

When I sell a product via a Sales Order and Invoice, I suppose the system could automatically create an Installed Product for the customer, but that would be a nice to have.

The important thing is that when I look at my customer, I can see which actual products that he has, and when I look at my products, I can see which customers have purchased them. When I create a Case, I can associate that case with an Installed Product, because when my customers have a problem it is generally about the product I sold them.

The way that ZoHo has it now, it does not let me record the specific details of the individual product. Only that the customer has bought a widget, not which widget did they buy.

I notice on some of the forums that customisable Tabs are "coming" - any idea when?

You can add the custom fields that you want in the Product tab from Setup --> Product Settings --> Fields List.

You can bring the field in the Product Related List from Setup --> Tab Settings --> Related List Columns and select the Products from the drop-down box and choose the fields you need to display.

I try to deactivate a user but it has no effect. I select the user, Deselect User and the select Deactivated Users and none are listed.

My name is listed on an account that I setup for a client. The project is nearing completion and I want to deactivate myself as a user on that account since I'm the 4th person listed. Under what circumstances would a user not be deactivated?

Currently, insertRecords option is not available for Notes module. But you can add event and task in the same way as leads. But there is some specific fields to associate a lead or contact to that task/event. ie.,

If you are give contact name, you have to use <fieldlabel value="Who Id">contact name</fieldlabel> or

<fieldlabel value="CONTACTID">2323232323</fieldlabel> for using the contact id.

For other modules, you have to use

<fieldlabel value="What Id">lead name</fieldlabel> or

<fieldlabel value="SEID">2323232323</fieldlabel>

Hello Zoho Team :)

I've got another problem...

I've created custom field in Cases:
label: Data
data_type: Date

When I'm sending for ex.
(...)<fieldlabel value="Data">2008-10-17</fieldlabel>(...)
in Zoho field Data is still empty!! [other filedlabels added perfectly]

I've tried also other format of data - 17.10.2008 (this is the format in CRM) - also nothing...

P.S. When I've deleted label 'Data' (type: Date) and created label 'Data' (type: Text) everything works great. But my client wants to have field 'Data' with type: Date (older data in CRM uses 'Data':Date so he doesn't want to lose any of old 'Data's)

I would like to know how can i add a new event, task and note to a selected account through an API call ?

And how can i be able to view the list of related Contacts to a selected Account using your API's.
Sample applies for Lead, potential and contact as well.

I've just spent time editing the default quote template. I saved the template with my changes, tried it out and then went back to edit a title. I saved this change and now the template is blank?

I would like to have a alert mechanism as well shoot automatic standard template mails to our customers .The main idea is to intimate the customer about thier renewal of maintenence contracts (AMC)which falls at diffrent dates.Is this feature availble currently at Zoho else could this be enabled.

Sorry about that. If you don't have account associated with that contact, then don't include that field in the xmlData itself. You can remove that entry from the xml and try the same again.

update almost correct :)

now:
when I'm updating Contacts with non-empty field 'Account Name' I've got "4832 Problem occurred while processing the request"

all other contacts without this field works (updates) fine

I'm sending my data by curl_init() [PHP]

So in fact I'm executing this url as a POST method - but now I'm getting empty Contacts...

All existing data has been erased only data in one custom field [Status] is correctly updated.
