The Zoho CRM Outlook plug-in is a productivity-enhancement software that can be used with Zoho CRM and Microsoft Outlook. The Outlook Plug-in can be installed on users' MS Outlook, which can be used to synchronize the contacts in between Microsoft Outlook and the Zoho CRM and add the contact specific e-mail as a Case to the Zoho CRM customer specific cases.
Hardware: x486 with 256 MB RAM or higher with a minimum of 10 MB disk space
Operating Systems: Windows 2000/XP/2003, Windows Vista
Software: Microsoft Outlook 2000/2002/2003/2007 and Internet Explorer 6/Internet Explorer 7
Installation Prerequisites
You must have administrator privileges on the system.
You must have valid login details to connect Zoho CRM server.
Microsoft Outlook must be stopped before installing the Outlook Plug-in.
Installing Zoho CRM Outlook Plug-in
Log in to your Zoho CRM account.
Download the Zoho CRM Outlook Plug-in from the Setup > Personal Settings > Outlook Plug-in page.
Run the ZohoCRM_Outlook_Plugin.exe.
In the Welcome to the Installation Wizard dialog, click the Next button.
In the License Agreement dialog, read the license agreement and click the Yes button if you accept the license agreement.
In the Directory Choose Destination Location dialog, browse the directory (By default the destination directory is C:\AdventNet\ZohoCRM Outlook Plug-in) in which you want to install Zoho CRM Outlook Plug-in and click the Next button. Zoho CRM Outlook Plug-in installation will take a few seconds.
In the Installation Completed dialog, click the Finish button to complete the installation.
Uninstalling Zoho CRM Outlook Plug-in
Stop the Microsoft Outlook if it is running.
Select Start > Settings > Control Panel.
In the Control Panel, click the Add/Remove Programs icon.
In the Add/Remove Programs dialog, select the Zoho CRM Outlook Plug-in and click the Remove link. It will take a few minutes to uninstall the Zoho CRM Outlook Plug-in.
Existing User: After logging in to Zoho CRM activate your Outlook Account from Setup -->Subscription Manager --> User Activation page
3. Working with Outlook Plug-in
Using the Zoho CRM Outlook Plug-in, you can perform the following operations:
Synchronize Contacts, Tasks, and Calendar between Zoho CRM and Microsoft Outlook
Resolve conflicts during synchronization
Add customers-related emails as cases in Zoho CRM
Modify the email message before adding to Zoho CRM
Note: Currently Zoho CRM Outlook Plug-in supports Microsoft Outlook 2000, 2002, 2003and 2007 versions only.
Configuring Zoho CRM Server
Before adding or synchronizing Microsoft Outlook E-mails and contacts to the Zoho CRM, specify the Zoho CRM login details in Microsoft Outlook. You can use the Outlook Plug-in to connect the Zoho CRM On-demand service.
To configure Zoho CRM login details
Start the Microsoft Outlook.
Click the Zoho CRM -> Login menu.
In the Zoho CRM Login dialog, specify your Zoho CRM login details:
Zoho CRM ID: Enter the user name to log in to the Zoho CRM.
Password: Enter the password for the user name.
Remember Me: Select the check box if you want to remember the login details.
Click Save to apply the changes.
Mark/Un Mark Zoho Category
Select the Contact(s) and click Zoho Category -->Mark as Zoho to set the Contact(s) Category as Zoho
Select the Contact(s) and click Zoho Category -->Remove Zoho to remove the Zoho category for Contact(s).
Setting for Sync Zoho Category Alone
In Zoho CRM – Outlook plug-in, click Zoho CRM --> Preferences.
In Preferences dialog box, click Choose Category.
From the list select Zoho and Click Save. It will enable the Sync Contact that is in Zoho Category.
Setting for Sync Contacts – Selected Categories
In Zoho CRM – Outlook plug-in, click Zoho CRM Preferences.
In Preference dialog box, Click Choose Category.
From
the list select the categories as you wish and Click Save. It will
enable the Sync Contact that contains the selected categories.
Note:
After choosing the Categories from Zoho CRM Preference, For Contact Sync go to contact folder and Click Contact Sync.
The same steps for Task(s)/Calendar(s).

Synchronization allows you to enter the customer-specific contacts from Microsoft Outlook to Zoho CRM and vice-a-versa and update the information in both Zoho CRM and Microsoft Outlook. It also eliminates duplication of contacts and resolves conflicts if the data is not in sync.

You can add customer-specific E-mail messages from Microsoft Outlook to Zoho CRM as a Case. Before adding the E-mail messages make sure the corresponding contact to the E-mail exists in Zoho CRM.
To add E-mail messages from Outlook to Case in Zoho CRM
Select the Inbox shortcut from sidebar.
Select the customer-specific E-mail message from the Inbox.
Click the Zoho CRM > Add Case to Zoho CRM menu.
Note: If the corresponding contact's E-mail address is not available in Zoho CRM, an error message "No matching contacts for <Email Address>" is displayed. When this error message is displayed, first add the contact in the Zoho CRM before adding the E-mail message.
In the Add Selected Message to Zoho CRM dialog, the Contacts tab is displayed where the selected E-mail details are displayed.
In the Contacts table, click the View link to view the contact details in Zoho CRM.
Note: When you click the View link, a default browser is displayed. Here, enter the Zoho CRM login details. First time, it will not display the appropriate contact details. You have to click the View link again to view the selected contact details.
Some times you may not require archiving the complete E-mail in Zoho CRM. In this case, you can modify the E-mail message before adding it to the Zoho CRM. Follow the steps given below to modify the E-mail message:
Select the E-mail message to be modified from the Contacts table.
Click the Edit Message tab.
Modify the content in the Edit Message text area.
You can also attach the files related to the e-mail message. Click the Attachments tab and view the list of attached files. You cannot attach files with more than 1 MB and delete any attachments.
Click the Add to Zoho CRM button to add the E-mail message to the selected contact in Zoho CRM.
Once the E-mail message is added to Zoho CRM, the "Successfully Added" message is displayed. Click the Close button to complete the operation.

The Contact sync works just fine, however I've tried and failed on the Calendar sync multiple times.
I read that apparently it has a time out. Now I understand that can be a good security thing, however it's not a good thing when it just won't allow a sync.
Each time I'm tried it, it doesn't allow me to abort. It simply keeps going and apparently it's making me acknowledge every time it tries to hit the record. For some 4500 records that's not going to happen, so all I can do is kill the application/process and that has caused corrupted Outlook files.
Please come up with something that will work here especially since I'm paying for this particular service.

2. Invalid return value from Zoho CRM
I received the 2nd error message continuously and kept clicking OK until it processed the remainder of my contacts.

We have set it for your security, your session expires a maximum of 60 Minutes after you have logged in or your session will expires after the specified amount of time. We are not showing the proper message while session expires.We will also plan to increase the session time.

Please check the following. Click the Task Icon-> and Select the Task folder from the Navigation Pane. And Now try Sync.

Gokul: In Outlook 2007 by default the to-do folder is selected when you click the Task Item. So you need to select again the Task folder from the folder list. After selecting the task folder try Sync Tasks.

1. Calendar--Is there a way to choose to sync FUTURE events only, versus all events that are stored in Outlook? Currently the sync picks up EVERYTHING and that is time consuming and unnecessary to populate the CRM.

I have appointments that don't belong in the crm (holidays for example) and each time I have to do the whole selection at the view details level. Or am I missing something? Hi, when I try to sync contacts I get the message "Error while getting contact details from outlook' and it doesn't work.
Also I got it to sync the Zoho calendar but does not take the Outlook calendar into Zoho.
When I look at the CRM preferences in Outlook, all the boxes are blacked out. Is it meant to be like this. If I click on Categories I get a drop down list with the choices - Blue Category, Purple, Green, Orange, Yellow and Zoho. If I select Zoho nothing happens. If I click on Select I can put ticks in the boxes but they still don't show, evrything is all black.

The outlook synch started saying "you are using an older version, please upgrade".
However, after downloading the install and starting the process, it says you are about to uninstall.
I simply wanted to upgrade not uninstall and loose all my settings.

Am using the Outlook plug in.
When I try to add an email to a contact, I search by company name but it never finds the Company Name. However if I put the persons first name in it then finds it!
The reason we need this is say I have a Lead from company XYZ, but i then receive an email from another contact within company XYZ, I want to add this email to the lead but I may not remember the Lead name, but I do know the company name.
Can you help please?

1. Login to http://crm.zoho.com 2. Goto Setup --> Subscription Manager --> Users Activation. 3. In User Activation click Edit and select the user do want you want enable the Outlook plug-in and save. 4. Now open Outlook and try login.
If you still face any problem, open the IE browser and clear cookies and try login. Hope this helps

I had tried to installed the outlook component on two machines, both running XP, both with Outlook 2007. One appears to have installed correctly, but the other has come up with an error "Unable to register DLLs", although it says it has installed correctly at completion.
When I load outlook I don't get any of the Zoho toolbar.

Invalid return value problem is due to your login session expires. We have set it for your security, your session expires a maximum of 60 Minutes after you have logged in or your session will expires after the specified amount of time. We are not showing the proper message while session expires.We will also plan to increase the session time.

When I sync my contacts between Outlook 2007 & Zoho, I get the following error message "error while parsing response from Zoho crm" What does this mean?

Please check the following. Click the Task Icon-> and Select the Task folder from the Navigation Pane. And Now try Sync.
Also Confirm, Zoho CRM-> Prefernce-> in that check the folder for Task Sync.

Gokul: In Outlook 2007 by default the to-do folder is selected when you click the Task Item. So you need to select again the Task folder from the folder list. After selecting the task folder try Sync Tasks.
1. Calendar--Is there a way to choose to sync FUTURE events only, versus all events that are stored in Outlook? Currently the sync picks up EVERYTHING and that is time consuming and unnecessary to populate the CRM.
2. During any sync, I always get a parsing error when it attempts to DELETE records in Outlook. I believe that is where it fails. Am I missing a setting somewhere?
Similar to tmangum, I'd like to see a way to selectively choose which calendar events get synced. I have appointments that don't belong in the crm (holidays for example) and each time I have to do the whole selection at the view details level. Or am I missing something? If not, is this something in the works?
I'm running Vista for Business and Outlook 2003 and can't seem to get the CRM Outlook Plug-in to work.
I receive the following error

When I sync my outlook Calendar with ZOHO it downloads the item to outlook. Then next time I sync it deletes that item from ZOHO???
when I try to add a case in zoho from an email I click - "Search in Zoho CRM - always get the error message - Error while parsing response from Zoho CRM. I tried logging out and then back in - still the same issue.

I've attempted to sync with outlook 2007 for contacts. I am able to sync the normal contacts but not my business contacts (i use Outlook 2007 w/ Business Contact Manager) which are located in a separate contact list. Is there a way to do it?

I have installed the new version of the Outlook Plug In but now the Add E-Mail to Zoho CRM function does no longer work. I always get the message "Error while adding message to Zoho CRM".
With the old version there was no problem with this function.

Hi, what if I have multiple ZOHO Accounts for multiple companies and multiple Outlook profiles? Will I be able to select which Zoho account to sync with?
Hi, when I try to sync contacts I get the message "Error while getting contact details from outlook' and it doesn't work.
Also I got it to sync the Zoho calendar but does not take the Outlook calendar into Zoho.
When I look at the CRM preferences in Outlook, all the boxes are blacked out. Is it meant to be like this. If I click on Categories I get a drop down list with the choices - Blue Category, Purple, Green, Orange, Yellow and Zoho. If I select Zoho nothing happens. If I click on Select I can put ticks in the boxes but they still don't show, evrything is all black.

Hi.
We are a paying Outlook synch user of your system.
The outlook synch started saying "you are using an older version, please upgrade".
However, after downloading the install and starting the process, it says you are about to uninstall.
I simply wanted to upgrade not uninstall and loose all my settings.
How do I upgrade outlook synch without loosing settings?

Am using the Outlook plug in.
When I try to add an email to a contact, I search by company name but it never finds the Company Name. However if I put the persons first name in it then finds it!
The reason we need this is say I have a Lead from company XYZ, but i then receive an email from another contact within company XYZ, I want to add this email to the lead but I may not remember the Lead name, but I do know the company name.
Can you help please?

Sorry about that. Please use the following steps to Activate you plug-in.
1. Login to http://crm.zoho.com
2. Goto Setup --> Subscription Manager --> Users Activation.
3. In User Activation click Edit and select the user do want you want enable the Outlook plug-in and save.
4. Now open Outlook and try login.
If you still face any problem, open the IE browser and clear cookies and try login. Hope this helps

I cannot figure out how to update the outlook plugin. I've been receiving the same response as Rick above prompting me "you are using an older version, please upgrade." How do I do this? I've tried to reinstall it but that did not fix the issue, I still get that dialog box.

i am trying to use the outlook plugin. i am working in hebrew on the web. when i try inputing hebrew into the plugin it writes in gibrish and i can't find the account. any way to go past it?
I had tried to installed the outlook component on two machines, both running XP, both with Outlook 2007. One appears to have installed correctly, but the other has come up with an error "Unable to register DLLs", although it says it has installed correctly at completion.
When I load outlook I don't get any of the Zoho toolbar.

Sorry about that. Could you check for second machine user have installation prvillages? Please follow the steps as a work around.
1. Click Start --> Run --> type cmd enter
2. Type cd c:\AdventNet\ZohoCRM Outlook Edition enter.
3. Type regsvr32 zohocrmoladdin.dll enter. Now open Outlook and check for toolbar.

Is there a way when I do a sync between outlook and zoho crm to get the field "category" from out outlook into Zoho? I have used a bunch of categories to classify contacts and would like to carry that through to zoho.

I can't get my outlook calendar items to export. I don't have any categories associated with my calendar items in outlook. If I click on each calendar item in outlook and assign a category then it will export. There must be an easier way. Any tips?

Outlook addin - Send and Add to Zoho CRM - what macro is the error message referencing?
Send and Add to Zoho CRM gives this message:
The macro cannot be found or has been disabled because of your security settings -
This message can appear if:
The macro was deleted from the template.
The template was not loaded or referenced in the Templates and Add-ins command.
The macro was turned off by the macro security settings of your system.

As of now the Outlook categories will not map to Zoho CRM. It is already in our roadmap.

Dear Dave,
You can select the any number of contacts and click Mark as Zoho. It will add the Categorey Zoho. And you can sync/Export the Zoho Category alone. Hope this helps.
