Introduction
Price Books are used for selling products at different prices, based on the agreement terms with a particular type of customer. For each customer you can sell the same product at different prices.
There are two key prices in Price Book one is Unit Price and other List Price. Unit Price is a fixed price of the product decided by manufacturer, which cannot be changed. List Price is the sellers' price. The manufacturer/resellers may sell the product with different prices to their resellers/customers. These variable prices for the same product are called as List Prices. The List Prices may vary according to the manufacturer's understanding with the reseller/customer.
The Price Book home page contains,
- Price Book List
- Tools, such as Import, Export, mass transfer, and delete vendors
- Quick Create pane
- Search
- Alphabetical Search
- Custom Views
- Change Owner
- Delete
- Page Navigation
Note: While creating a potential you can select products only from a single Price Book.

You can perform the following operations in Price Books module:
Navigating Price Books
You can navigate Price Books available in the Price books list view.
To navigate Price Books
- Click the Price Books tab.
- In the Price books Home page under the Price Books List section, click the Previous or Next link to access the list of Price Books.
Searching Price Books
You can search the Price Books with basic details or alphabetically.
To search Price Books
- Click the Price Books tab.
- In the Price books Home page, under Search (Top LHS corner) section, do one of the following:
- Enter the search criteria click the Go button. Or
- Select one of the alphabetical search links.
- In the Price books List page, list of Price Books are displayed as per search criteria.
Creating Price Books
In the Zoho CRM system, you can store Price Book details by entering data in Price Book form or importing the data from external source.
Note: Some of the standard fields listed below may not be visible/editable depending on your organization business process and field-level security settings. In case your organization added/modified fields please contact your System Administrator for more details about usage of the other fields. |
In the Price book: Edit form, you need to specify the Price Book-related information. The following table provides descriptions of the various fields in the form.

To create Price Books
- Click the New Price Book link.
- In the Price book: < > page, enter the Price Book details.
Note: Price book Name is a mandatory field. Refer to the List of Standard Price book-related Fields section for more details.
- Click Save to save the Price Book details.
To import Price Book data
- Click the Price Books tab.
- In the Price books Home page, under Price book Tools section, click the Import My Price Books or Import My Organization Price Books link according to your privilege.
- In the Specify Import File section, browse the Price Book file (XLS or CSV format) and click the Next.
- In the Map Fields section, map the XLS/CSV file headers with the Price Book related fields.
- In the Confirm Mapping section, check the mapped fields. If you are OK with the mapping click the Import button.
- In the Import Summary page, click the Go to Price book list button. The imported data is displayed in the Price Books Home page.
Setting up Volume Discounts
While
creating Price Book Information, you have an option to choose your
Pricing Model based on your business requirement. You can choose from
the following options:
- No discount
- Flat Discount
- Differential Discount
To define the Pricing Model with no discount
- Click on Price Books tab > New Price Book
- In the Create Price Book page, type a name in the Price Book Name field
- Select Pricing Model from the drop down list
By default, the Pricing Model will be displayed as <None>
- Click on Save
To define the Pricing Model with Flat discount
- Click on Price Books tab > New Price Book
- In the Create Price Book page, type a name in the Price Book Name field
- Click on Flat discount from the drop down list
- In
the Pricing details section, enter the From Range, To Range and
Discount percentage (these are mandatory fields in this model)
- Click on Add to enter more slots of pricing details and discounts
- Click on Save
To define the Pricing Model with Differential discount
- Click on Price Books tab > New Price Book
- In the Create Price Book page, type a name in the Price Book Name field
- Click on Differential discount from the drop down list
- In
the Pricing details section, enter the From Range, To Range and
Discount percentage (these are mandatory fields in this model)
- Click on Add to enter more slots of pricing details and discounts
- Click on Save

Associating Products with Price Books
You can associate products with Price Books to create different list prices for the same product.
To associate Product with Price Book
- Click the Price Books sub-tab.
- In the Price books Home page, under the Price book List section, select the required Price Book.
- In the Price book: <Price book Name> page, do the following:
- In Product List section, click the Add Product button.
- In Add Products to Price Book page, specify the List Price and select the products to be added to the Price Book.
- Click the Add to Price Book button to add the products to the Price Book.
Changing Price Books Owner
You can transfer the Price Books record in between users whenever there is some organization changes.
To transfer Price Books individually
- Click the Price Books tab.
- In the Price books: Home page, select the Price Book to be transferred.
- In the Price book: <Price book Name> page, click Change Owner.
- In the Confirmation dialog, click OK to change the owner of the Price Book.
To transfer Price Books in bulk
- Click the Price Books tab.
- In the Price books: Home page, go to the Price books List section and select the Price Books to be transferred using the Select check box.
- Click the Change Owner button.
- In the Confirmation dialog, click OK to change the owner of the selected Price Books.
You can view a printable form and print the Price Book details using browser's Print function.
To print Price Book details
- Click the Price Books tab.
- In the Price books: Home page, go to the Price books List section and select the required Price Book.
- In the Price book: < Price book Name> page click the Printable View link.
- In the Price book: < Price book Name> page, click the Print Page button to print the document.
Deleting Price Books
Rarely, you may need to remove the unnecessary Price Books, which are not tracked further. This will help you manage your Price Books in a better way. You can delete Price Books either individually or in bulk.
Warning: The deleted Price Books are temporarily stored in Recycle Bin. If required you can restore the deleted Price Books again. But if you delete Price Books from Recycle Bin, you cannot restore again.

To delete Price Books individually
- Click the Price Books tab.
- In the Price books: Home page, select the Price Book to be deleted.
- In the Price book: <Price book Name> page, click Delete.
- In the Confirmation dialog, click OK to delete the Price Book.
To delete Price Books in bulk
- Click the Price Books tab.
- In the Price books: Home page under the Price books List section, select the Price Books to be deleted using the Select check box.
- Click the Delete button.
- In the Confirmation dialog, click OK to delete the selected Price Books.
Customizing Price Books
(Access Privilege: Customize ZohoCRM)
Customization of the Price Books module includes, renaming the tab name, modifying the pick list values in standard fields, adding new custom fields, modifying Price Book page layout, and show/hide the related list views according to your Sales management requirements.

It's possible to exclude price book field from the quotation? I don't have different pricesbooks and therefore when I've to fill a quote the field price book it's only a waste of time because the price book cost is the same of the Unit Price!

Removing pricebook field in the Quote description is not available as of now. We will analyze and take it up for our future roadmap.

I really like the price book setup and all the customization you can do with it. The one feedback point I would like to ask is this:
You can have multiple price books and then populate with with similar products. The one drawback is that you cant view/save the list price for different price books.
So if product A has a unit price of $5.00 and you want to the list price for price book A to be $ 6.00 and then have the list price for price book B $ 7.00 the list price does not show up in either of the price books.

Your CRM is almost everything that I was looking for. Thanks. There is one thing though that will help a lot.
For obvious reasons, I want to use different people for Purchase and Sales. I do not want Purchase people to have access to Sales Price book and likewise I do not want sales people to have access to Purchase Price books.
Can you tell me a way to ensure that? Because I think right now if one person has access to one price book, she has access to all.

You may goto Setup --> Admin Settings and check whether the users are provided with exact Role and Profile. You may also check with the Data Sharing Settings and provide the access for the Price Books module and you may also create a "New Sharing Rule" for the Price Books module to provide access for any group/role.

Is it possible to associate a price book with an account. So that when an invoice or quote is created the correct list price is chosen when the product is selected.

You will be able to associate an account with a pricebook using a Lookup field. But creating an invoice or quote with the list price already chosen for the account is not possible.

I have imported my products into Zoho from a competitor. I would now like to set up my price book. I created a "Standard" price book to start off with, but I cannot find a way of importing/updating the list prices. Do I really have to set each one up manually? Surely not! What am I missing?
PS: Related to previous question: Can I set up a fixed mark-up on a specific price book using the unit price?

You can import the Price Books from Setup --> Data Administration Tools --> Import Price Books.
You will be able to provide the Unit Price in the Product

You have to import the products first in your Products tab. Once its done, have a column in the Price Book sheet with the related Products and import in Price Book as mentioned. This will automatically relate the Price Books to the Products that you have.

Apologies for being slow, but I don't get.
This is what I am doing:
1) Import products - done successfully
2) Create spreadsheet with list of all products with columns for PriceBook, ProductName, ListPrice
3) Go to Setup --> Data Admin Tools --> Import Price Books
4) Upload spreadsheet in (4) above
Now I'm stuck - the mapping tool does not allow for import of ProductName or ListPrice.
Please help.

You may import the Product & Price Books to the Zoho CRM and then associate them with the Price Books from the Product records or if you want to associate with multiple Price Books, you may use the related fields list that is available from the Products records. This also applies to Price Books.
