Data Transfer

You can transfer the contacts between Zoho CRM and QuickBooks in the following ways:

  • Import data from QuickBooks to Zoho CRM
  • Export data from Zoho CRM to QuickBooks
  • Synchronize data between Zoho CRM and QuickBooks

Import Data

Import data from QuickBooks to update in Zoho CRM.

To Import data:

  1. Click Setup in Zoho CRM.
  2. In the Setup page under Add-ons, click QuickBooks Integration link.
  3. In the screen that appears, click Data Transfer Mode link.
  4. Click Import, and then click Save.

Note:

  • Newly created QB records will be added in Zoho CRM, only if the data transfer mode is selected as 'Import 'or 'Synchronize'.
  • Only administrator or users with admin privileges can perform the sync option.
  • After the first sync, if any record is modified either in Zoho CRM or in QuickBooks, the changes will take place only during the next sync.

Export Data

Export data from Zoho CRM to update in QuickBooks.

To Export data

  1. Click Setup in Zoho CRM.
  2. In the Setup page under Add-ons, click QuickBooks Integration link.
  3. In the screen that appears, click Data Transfer Mode link.
  4. Click Export, and select the Data Transfer option, if required.
  5. Click Save.

Note:

  • Only administrator or users with admin privileges can perform the sync option.
  • After the first sync, if any record is modified either in ZohoCRM or in QuickBooks, the changes will take  place only during the next sync.

Synchronize data

Synchronize the data to update in Zoho CRM and in QuickBooks. You can prioritize the data while synchronizing between Zoho CRM and QuickBooks.

Data priority settings can be set in two different ways:

  • Zoho CRM - Select Zoho CRM, if the Zoho CRM data is of higher priority. In this case, Zoho CRM overwrites the QuickBooks data during synchronization.
  • QuickBooks - Select QuickBooks, if the QuickBooks data is of higher priority. In this case, QuickBooks overwrites the Zoho CRM data during synchronization.

To Set Data Priority Settings

  1. Click Setup in Zoho CRM.
  2. In the Setup page under Add-ons, click QuickBooks Integration link.
  3. In the screen that appears, click Data Transfer Mode link.
  4. Click Synchronize, and select the Data Transfer option, if required.
  5. Click Zoho CRM or QuickBooks, to specify your data priority.
  6. Click Save.

Note:

  • Only administrator or users with admin privileges can perform the sync option.
  • After the first sync, if any record is modified either in ZohoCRM or in QuickBooks, the changes will take place only during the next sync.

Synchronizing Contacts

You can synchronize the contacts between Zoho CRM and QuickBooks manually or automatically.

Manual Synchronization

Manual synchronization is done by selecting the data manually to synchronize between Zoho CRM and QuickBooks

Auto-Synchronization

In the Web Connector window, select the Auto-Run option and specify the frequency of auto-update. In this case, data is automatically updated if the QuickBooks is running.

Note:

  • If the contact/customer has no e-mail address then the sync will not take place.
  • Sync is done based on the e-mail address.
  • After merging records, if any one of the field values is changed, then during the next sync a new record will be created instead of merging the same record.
  • After merging, if a record is deleted either in Zoho CRM or in QB, then that particular record will not be updated or created newly due to the following reasons:
    a) Until changes have been made on the other side.
    b) If the option "Transfer all if no records selected" is enabled.
  • During sync, the data will be overwritten either in Zoho CRM or in QuickBooks based on the top priority.
  • During the merge, empty or null values should not be used to overwrite the existing value.
    For example:  Consider the scenario, when you want to overwrite a QB Customer in Zoho CRM Contact.
    If the Zoho CRM Contact's phone number is empty and QB Customer's phone number has a value, tin that case, when you overwrite QB Customer, the modifications will not take place in Zoho CRM Contacts since it has an empty/null value.
    After the merge, Zoho CRM Contact's phone number and QB Customer's phone number will be different.
    You should update QB Customer's phone number in Zoho CRM Contacts too.
    When you merge a record, and if the source value is empty, then it will not overwrite the destination value.
    In this case, after merging, source value will be empty and destination value will have the old value.
    So whenever you update on one side it should be updated on the other side too. Only then the values will be the same after sync.

Sync Status

Sync status helps you to view the QuickBooks synchronization history along with the corresponding error messages.

To view sync status in Zoho CRM

  1. Click Setup in Zoho CRM.
  2. In the Setup page under Add-ons, click QuickBooks integration.
  3. In the screen that appears, click the Sync Status link at the bottom of the page.
  4. Click the relevant Sync ID to get the error history information.
