Zoho CRM allows you to add the first three users free of subscription charges. Only from the Fourth user onwards, you need to pay the subscription charges as given below:

Subscribe for Additional Users
You can subscribe for additional users in the Manage Subscriptions & Credit Card Information pages where you will be guided to specify your service details. The following table describes the various standard fields in the form.

To Add more users
- Click the Setup > Admin Settings > Users > Manage Subscriptions.
- In the Manage Subscriptions page, under the Add Subscriptions section, specify Zoho CRM Users, Outlook Plug-in Users, and Extra File Storage as per your business requirements.
- Click the Update Account button.
- In the Credit Card Information page, specify your Credit Card information. For more details, refer to the List of Standard Subscription-related Fields section.
- Click Update button to process your payment or Cancel to modify your subscription details.
Activating Users
You can activate/deactivate users in your Zoho CRM system according to the maximum number permitted in your subscription. In case you have added more users during evaluation and later decided not to subscribe for all the users, you can deactivate some of the test users otherwise they cannot access the Zoho CRM system.
To activate users
- Click on Setup > Subscription Manager > Activate Users.
- In the Users List page, click on the edit button to change the status of the users (Activate / Deactivate), according to your subscription requirements.
- Click Save.
Unsubscribe Users
To unsubscribe users
- Click the Setup link.
- In the Setup page, click on the Admin Settings > Users >Manage Subscriptions > Manage your Plan.
- In the Manage Subscription page, go to Action and click Downgrade check-box
- In the Reduce Subscription section, select the number of users to reduce.
- Click on Update Account.

Note: You need to personally complete the downgrading process to avoid further subscription charges for downgraded users.
Viewing Order History
You can view all your previous orders archived for a better visibility on your user subscription.
To view order history
- Click on Setup > Subscription Manager > License Order History.
- In the License Order History page, the old order details are displayed with information such as, order number, start date/end date, amount, etc.
Frequently Asked Questions
In the free version if I add a 4th user, do I have to pay for all the four users?
No, you do not have to pay for all the four users. In Zoho CRM, the first three users are absolutely free. When you add the 4th user, you only pay for the additional 4th user but all the 4 users enjoy the benefits of the upgraded edition (Professional or Enterprise).
When I upgrade from the free edition, what happens to my existing customization?
Even after upgrading, your existing customization remains intact. You do not have to start the customization from the scartch.
