Managing Subscriptions

Introduction

Zoho CRM allows you to add the first three users free of subscription charges. From the Fourth user onwards, for all additional users you need to pay the subscription charges.

In Subscription Manager, you can perform the following operations:

Subscribe for Additional Users

You can subscribe for additional users in the Manage Subscriptions & Credit Card Information pages where you will be guided to specify your service details. The following table describes the various standard fields in the form.

Select the subscription period. The choice of subscription period defines the payment option. You can choose any one of the following:

  • Yearly
  • Half-yearly
  • Quarterly
  • Monthly

Select the number of Zoho CRM users you wish to add.

Select the number of Outlook users you wish to add.

Pick list

Extra Storage

Select the extra file storage capacity for your organization from the following available options:

  • 100 Mb
  • 250 Mb
  • 500 Mb

E-mail, alphanumeric and special characters (100)

Total Amount

Displays the total amount as per your selection.


Billing Address*

  • Address 
  • ZIP/Postal Code
  • Country

Specify individual's /company's billing address.

  • Street, alphanumeric (250)
  • Postal Code, alphanumeric (30)
  • Country, alphanumeric (30)

Card Type

 Select Master or Visa.

Note: Other type Credit Card holders are requested to contact sales@zoho.com or call at:+1 888 900 9646

Pick list

Card Number

Specify correct Card Number as embossed on the instrument.

 

Card Verification Number

Specify your Card CVV number.

 

Card Expires On

Specify your card expiry date.

 

Terms of Service

Select the check-box to process your payment.


To Add more users

  1. Click the Setup >Admin Settings > Users > Manage Subscriptions link.
  2. In the Manage Subscriptions page, under the Add Subscriptions section, specify Zoho CRM Users, Outlook Plug-in Users, and Extra File Storage as per your business requirements.
  3. Click the Update Account button. 
  4. In the Credit Card Information page, specify your Credit Card information. For more details, refer to the List of Standard Subscription-related Fields section.
  5. Click Update button to process your payment or Cancel to modify your subscription details.

Activating Users

You can activate/deactivate users in your Zoho CRM system according to the maximum number permitted in your subscription. In case you have added more users during evaluation and later decided not to subscribe for all the users, you can deactivate some of the test users otherwise they cannot access the Zoho CRM system.

To activate users

  1. Click the Setup link.
  2. In the Setup page, click Subscription Manager > Users List
  3. In the Users List page, click on the edit button to change the status of the users (Activate / Deactivate), according to your subscription requirements.
  4. Click Save.

Unsubscribe Users

You can unsubscribe additional users of ZohoCRM anytime you want, as per your organization's requirements. This would mean you can stop paying subscription charges for the unsubscribed user. To successfully unsubscribe a user you need to process the downgrade option.

To unsubscribe users

  1. Click the Setup link.
  2. In the Setup page, click on the Admin Settings > Manage Subscriptions > Manage your Plan.
  3. In the Manage Subscription page go to Action, Click Downgrade check-box
  4. In the Reduce Subscription section, select the number of users to reduce.
  5. Click on Update Account.

Subscribe / Unsubscribe Process Steps:



Note: You need to personally complete the downgrading process to avoid further subscription charges for downgraded users.

Viewing Order History

You can view all your previous orders archived for a better visibility on your user subscription.

To view order history

  1. Click the Setup link.
  2. In the Setup page, under the Subscription Manager section, click the License Order History link.
  3. In the Order History page, the old order details are displayed with information such as, order number, start date/end date, amount, etc.

If a client wants to have access to Zoho through my account while we are servicing his account and I want to allow him access but restrict his view to only his leads when he is logged in, is that possible? If so please inform me.

Yes. You can provide him the permissions for the user from Setup --> Admin settings --> Profiles and once you have set the profile, assign it to the user from Setup --> Admin Settings --> Users. This will help the user to see only his records.

If you have the free version and would like to add a 4th user, do you pay for just the 4th user or do you have to pay for all four? Also, if you done some customization to the free version do you have to start from scratch if you upgrade to the other options?

Gopal: We are offering first 3 users free and charging only for the fourth user. Effectively you will save $36 for Professional edition and $75 for Enterprise Edition per month.

2. If you done some customization to the free version do you have to start from scratch if you upgrade to the other options?

Gopal: After upgrading, you need not start customization from scratch. You can very well use the customization done over free version.

Hello, is it possible to use the enterprise edition or the professional edition with 3 or less users? Whenever I tried to manage the plan accordingly, the system is trying to add users to charge me. Is this normal?

The first three users are free of cost, if you want to avail the features of Professional/Enterprise, you can subscribe for the number of users and get the features. It's applicable even if you are going to subscribe for 1 user in your account. The system will automatically charge based on the plan you choose. This is normal.

Right now, the account I use has three users which have the free version. How can I enable these three users to use the system with the features of the Enterprise edition. The users are already subscribed, I just want to upgrade them...

When I go to the suggested page, the 'Manage Your Plan' link takes me to the free plan management module.

I would like to upgrade my account but keep the three users and continue on using the system for free. Isn't that possible?

When I click upgrade from the 'Managing Subscription Page' and don't ad anything and just click 'update', the system alerts that I have to add at least one user in order to upgrade my account.

Please elaborate.

You have to click on the Upgrade button in Enterprise plan and select your subscription type (monthly, quarterly, half-yearly or yearly) and select 1 user from "number of users to add" and click on Update Account.
To upgrade your account to Enterprise plan, you have to select at least one user.

You can send a mail to support (at) zohocrm (dot) com with the old id and new id to replace the old id.

Hello,

I want to handle subscriptions for monthly payments. Can I set this up in ZOHO? The customers want a formal invoice monthly or quaterly or yearly. Only the starting dates change ofcourse and I want this automatic. Like running a job daily.

Or what are you yourselves using, you send monthly invoices etc..

Hi Frank,

You will be able to set the payment gateways in http://invoice.zoho.com, if you have not registered with Zoho account, try registering and use the feature that is provided in Zoho Invoice. In Zoho CRM, the feature is currently not implemented. We will take it up for our future release.

While I was setting up our free accounts, one of the users opened a ZOHO account himself to play with it. Now I can't put him on ours, because his email address is already logged as a ZOHO ID on the other account. How do we eliminate the rouge account so he can be active on the other?

Dear Nan,

Please send a request to delete the account that you created, so that we will delete the account. Then you can add the user to your account.
