Introduction
File attachments are documents, such as Marketing Collateral, Sales Quotes/Orders/Invoices, SLA, and others that can be associated to the CRM modules.
Notes are the electronic equivalent of paper sticky notes. You can use the notes to write the questions, reminders, and anything you would write on notepaper. These are useful for storing bits of information related to customers, which you may need later.
Attachments and Notes modules are available as a related list under detail view of the record. You can perform the following operations in Attachments and Notes modules:
You can attach documents to the leads, campaigns, accounts, contacts, cases, products, vendors, quotes, orders, and invoices.
Note: You can upload a file of size less than 2 MB.
To attach files to the records
- Select the record from the required module.
- In the Record Detail page, under Attachments section click the New Attachment button.
- In the <Module>: File Attachment page, browse the file to be uploaded. You can also add some description about the file.
- Click the Upload button.
The attached file is added under Attachments & Notes list view.
Occasionally, you may need to remove the unnecessary files from the Zoho CRM system for a better user experience. You may consider removing files that are not useful for future reference.
Warning: Deleting files is a destructive operation, hence use this option judiciously.
To delete attachments
- In any of the record details view, under Attachments section click Del link.
- In the Confirmation dialog, click OK to delete the note permanently.
In Zoho CRM, you can associate notes to the records by specifying the required details in a note.
List of Standard Note Fields
In the Note: Edit form, you need to specify the note-related information. The following table provides descriptions of the various fields in the form.

To create notes
- In any of the record details view, click the New Note button.
- In the Note: < > page, specify the note-related information.
Note: Title is a mandatory field. Refer to the List of Standard Note-related Fields section for more details.
- Click Save.
Importing Notes
There are occasions when you would like to acquire Notes from external source sources or other CRM applications. The Importing Notes option in Zoho CRM allows you to successfully run this operation.
Note: You should have imported the related Accounts and Contacts before importing Notes.
To import notes
- In the Setup page, Click on Data Administration Tools link.
- In the Data Administration Tools drop down list, Click on Migrate Data from other CRM link.
- In the Data Migration Wizard page, Click on the Select Module drop down list.
- In the Select Module drop down, pick Import Notes > Click Next
- Browse the Import file path and click on Next to import.

is there a way to delete multiple attachments at once? this would be really helpful

You may goto Setup --> Templates and choose the template and delete the attachments that you have.

Is it possible to to move notes if, for example, they were created under accounts when they should have been created under potentials.

Prior to importing contacts, I would like to learn how to import contact notes. Where may I learn more about this?

You will be able to import your contact's notes using Setup --> Data Administration Tools. Make sure you have the related id's for the data that you have. Only then the notes will be related to the Contacts that you have in Zoho CRM.

Is there a way to email the notes you make on an account?

Is it possible to run a report on the number of notes created? We are using the notes section under Account and Contact to record information gained on cold calls and I wonder if this would be an easy way to report on the actual number of calls the team are making.

Hi Laura,
You may get the information from the Reports tab by creating a new report by selecting Notes from the drop-down box and select the tabs that you want to get information from (eg: Account/Contact) and continue to select the needed columns in the report from the Columns tab and generate the report, which will provide you the Notes information with the related account/contact record.
