Managing List Views

List Views are useful for displaying customer specific data according to your business requirements. For example, you may be interested to follow-up the leads created during last one week or overdue tasks as of today. The best way to handle this kind of scenario is first filter the records from customer data bank and then perform all the necessary operations on records. You can also use the List Views for changing record owners to another user, delete records, send e-mail in bulk.

Note: User created list views are displayed under User Created Views category in View drop-down list.

In the <Module>: Home page, under the Account List section, you need to select the required list view from the View drop-down list. The following table provides descriptions of the various drop-down list values in View drop-down list.

Specifying List View Criteria

In the Specify Criteria section you can specify the matching criteria.

  • You can specify only single criteria in each row.
  • Specify the numbers without commas. For example, specify 15,000 as 15000. If you
  • You cannot add custom view criteria for Boolean values. Currently checkbook fields are not supported.
  • For drop-down list fields, use the exact field value, otherwise custom view will not be created.
  • If you select the None option, custom view will not be created.
  • For a better performance it is better to select less than 20 rows in matching criteria.

Selecting List View Columns

In the Choose Columns section, select the columns to be displayed in the List View from the Available Columns list box. After selecting the columns you can change the order of the columns and remove unnecessary columns from the Selected Columns list box.

Note: It is better to select less than 10 columns to avoid horizontal scrolling in List View.

Setting up Permissions to the List View

In the Accessibility Details section, enable the list view for users. You can enable the list view for all the users, user creating the view, or selected users. To enable list view for some of the users, select the users from the Available Users list box.

Hi Steven Zee,

You may create a view to see the leads with empty values. In the view, select which field has the empty value and select Contains in the second drop down in criteria and leave the third box blank. This will help you in bringing the leads with blank values with the specified field.

In the Activities tab, we have provided the default view "Today's Tasks". You may use that view to see the current day's activities.

You can edit the view and add the Task Owner from the columns. This will display your name as the owner for the activities.

Can you specify a criteria based on relative date instead of specifying absolute date? For example, I created a new Date/Time Task field called Tickler Date. I would like to add a Criteria to the View that includes all Tasks where Tickler Date is after NOW (where NOW is the current timestamp).

I'd like to create a subset list of certain people from all my contacts and then export just those people to a spreadsheet.


They don't share any criteria in common -- I'd like to just go through my total contact list and mark the ones I want on this subset list and then export that.


How do I do that?

Dear Michael,

You can use the Zoho Sheet View to view the contacts, there you can delete the contacts except the contacts that you want and export the remaining data.

Thanks for the quick response Parker. Can I create a permanent subcategory? I have several messages, etc. that I want to send to this group over time, and new group members will come and go. I don't want to have to go through the entire list each time if possible.

Is it possible to disable/hide the standard views and make available only the Custom Views. Also, is it possible to disable all prvileges so that users cannot change or create any new custom views except for the ones exposed by the administrator.

Currently we dont have the option to have the criteria for variable value for a field. But we do have plans to implement this feature.
