How to Import Tasks and events?

Scenario 1: Tasks/Events related to other CRM records:

Currently you cannot import tasks and events related to other CRM records from the Activities module. However, you can import these records from Setup > Data Administration Tools > Migrate data from other CRM page, provided they have the proper mapping-relationship with Leads/Contacts (Who ID) and other CRM entities (What ID). You can use this option if you are importing data from other CRM systems.

Scenario 2: Independent Tasks/Events:

You can use the Zoho CRM - Outlook Plug-in to synchronize you tasks and events between Outlook and Zoho CRM. For more details, refer: Synchronizing Outlook Calendar with Zoho CRM

How to assign records to other users while importing data?

Ans: In XLS or CSV file ensure that users' Zoho CRM ID is present so that records will be automatically assigned to the corresponding users. Please note that, records with blank values for Zoho CRM ID will be assigned to the person who imports the data. In addition, data belongs to wrong user names will not be imported.

How can I delete everything I've imported today and start again?

Ans: In Zoho CRM, select the Setup > Import Tools >Import History > check the file that you uploaded and then click on Rollback button. With this the imported data will be removed and you can import data again.

Is this the only way you can delete information? I don't want to do a whole import again until I have tested ZOHO CRM a bit more.

With the help of the Import History, you can revert back the last uploaded information which will not affect the already added info with Zoho CRM.

The above mentioned is the easiest way to delete the last updated information in Zoho CRM. You don't need to import all the information again but you can import the csv or excel sheet with the modified data in Zoho CRM.

How can I import data into a single field within an account without generating a new set of accounts each time. The original data has Account Names which match the Account Name fields in our Zoho database.

Currently the feature is not available in Zoho CRM. We will be implementing the duplicate checking feature while importing in our upcoming update.

Hello,

Currently we are not supporting importing of invoices. As a work around you can attach the Invoices as file attachment to Accounts/Contacts.

Hi,


I can import tasks, but can’t match them to already imported leads.


I think I’ve located the problem. One of the fields in the Zoho import Wizard is “Contact Name”. Unfortunately, when importing the tasks the “Contact Name” is not matched to a Lead.


When exporting a dummy task from Zoho I see that the contact name from a task is the “Who Name”. It’s easy to rename a column “Who Name”, but how do I import that, since the only option with tasks is contact name (through the wizard)? I’ve also tried “Related To”.


You can imagine it’s very important for us to match the tasks to the leads.

Hi In_rikkert,

You may try using the link from Setup --> Data Administration Tools --> Migrate data from Other CRM. This will help you to relate the tasks with the related records.

Note: The records that you try to relate should have the related id's, only then it will be mapped with the records that are related to them.

Currently we are not supporting importing of invoices. As a work around you can attach the Invoices as file attachment to Accounts/Contacts.

You may try using the API's that we have to put the invoice information to Zoho CRM.

I am trying to import my task history from another CRM. I saved my history in a CSV file. I already uploaded my contacts, and I added a column with the Who ID of the appropriate contact (matching the 'Zoho Contact ID' after I exported my contacts from Zoho) in the CSV file showing my task history. However, after I upload the task file, I don't see any appropriate place to match the Who ID in the field mapping wizard (in the 'Map Fields' page). I tried using 'Related To' and 'Contact Name' and neither of them worked.

If you want to import fields into a picklist field, how do you format the data in the original spreadsheet/csv file. I have tried to import Mr, Mrs, etc but it just comes in blank.

The importing of history is currently not available. We have plans to bring the feature in out future releases. Once its done, we will keep posted the update.

Hi,

You will be able to provide the Mr, Mrs, etc in a separate column with the name Salutation and import it to the CRM system. You may follow the date format that we have mentioned in the Import area.
