What is the difference between a Contact and a Lead?
Leads are raw details about individuals or representatives of organizations collected from trade shows, seminars, advertisements, purchasing from external sources, and other marketing campaigns.
These are used to qualify a particular individual or organization to next stage and that is were you convert the Lead to "Account, contact & potential". Both Lead & Contact have same information such as name, e-mail, mobile, title, etc.


Can I add my personal contacts to the Zoho CRM Contacts?
Though Zoho CRM allows you to add any type of contacts, you are strongly recommended to add only business contacts because users with "System Administrator" privilege can access your contacts.


I sell my products/services to individuals. Can I use the Zoho CRM contacts module to track my sales?
Yes, you can customize Zoho CRM for B2C business process.


Is it possible to associate a contact with multiple Accounts?
It is not possible to associate a single contact with multiple Accounts. However, you can only associate a Account with multiple contacts.


How to view a map for the contact address?
You can view a map for your contact address by clicking the Locate Map button in the Address Information section.


Is there a way to view the contact informations ? How does it work?
You can view the contact informations by clicking on the specific Contact Name in the Contacts List View.
The Contact Details Layout provides you a 360 degree view of the contact informations and contains all fields, Tasks (to dos); Events (Calendar); Business Opportunities; Emails; Documents; Products Purchased; Trouble Tickets related to the corresponding contact.


How to search contacts with first name?
To search contacts with first name, you have to select the search criteria to be First Name. This can be done by including the First Name field in search criteria. For more details, click here.


What is the difference between " Import My Organization Contacts" and "Import My Contacts"?
Import My Contacts
The records will be assigned automatically to the person who is importing the file into Contacts Tab.
Import My Organization Contacts
You can assign the records to different users in your account while importing the file into Contacts Tab. However, before importing the organization contacts you must create a column for the Users in the XLS or CSV file.


Is there any limitations on synchronizing the number of Outlook Contacts into Zoho CRM?
You can synchronize all the contacts from Outlook to Zoho CRM using the Outlook plugin without any restriction. However, if you try to import the outlook contacts from an Excel file, you will be able to import only 1000 contacts at a time and 1500 contacts while importing from a CSV file.


How to import a CSV file with multiple Contacts associated to a single Account Name/ Company Name?
You have to add a column for the Account Name and the add another column for the related contacts in the CSV File. This will help you to create contacts under the same Account Name/Company Name.


While importing contacts into Zoho CRM, is there a way to import notes available with the corresponding contacts?
While importing contacts, you have to Map the Notes fields from the import file with the Description field of Zoho CRM. This will help you to bring the notes to be displayed in the corresponding contact's description field.


What does the "Email Opt Out" field mean while creating a contact?
In E-mail marketing, an "opt-out button" may be included to notify the sender that the recipient wishes to receive no further e-mails. clicking on the link or the button has the side effect of confirming to the sender that the e-mail address used was a valid one, perhaps opening the door for unsolicited e-mail or spam.
Similarly in Zoho CRM, when you enable the Email Opt Out field, the corresponding contact will be removed from your mailing lists and will not receive any emails from your Zoho CRM account.

How to make the available fields in the Web-to- Contact form to be mandatory so that customers cannot send the form until they fill informations in all fields?
You will be able to make the fields mandatory in the Web-to-Contact form with the help of your Web master team. They will be able to make the fields mandatory to get all the information from the customers before they submit the info.


How to create a Contacts List View with empty e-mail value?
To create List View for contacts with empty e-mail value, create a custom list view and specify the Filter criteria to be :
The Contacts List View page displays the list of contacts that has empty e-mail value.


Is it possible to duplicate a contact and save it as a Vendor?
You will not be able to duplicate a contact to other modules. i.e You can only duplicate a contact to multiple contacts.


How to associate multiple contacts with a potential?
You will be able to associate multiple contacts with a potential by creating a custom field with the Field type Look up and Field Label as Potentials. For more details, click here.


I have 50 contacts in my contact list and is there a way to create Tasks for all 50 contacts at one shot?
Zoho CRM allows you can create Tasks for "n" of contacts in a single shot using the Create Task button. To create Tasks for multiple Contacts:

  1. Click on Contacts tab.
  2. In the Contact home page, select the contacts by clicking on the corresponding check-box from the List view.
  3. Click on More Actions button and select Create Task.
  4. In the Create Task page, enter the task details and click on Save.
The Tasks will be created for all selected contacts.


Is it possible to send a welcome email automatically to the new contacts that are captured through web forms?
Yes, you will be able to send automated emails to your new contacts using the Autoresponders. For more details, click here.


I would like to send an alert to my users to follow up the new contacts with the Lead Source "Advertisement" , how can I do that?
You can send an alert to your users when a new contact is created with the Lead Source "Advertisement" using Workflow Rule and Creating a Corresponding Workflow Alert. for more details, click here.
