Introduction
Activities plays an important role in daily business operations. Activities can be either time bound calendar events, such as meetings, seminars, appointments, etc or status bound tasks, such as send status report to manager, send e-mail to customer, etc. In Zoho CRM most of the records have activities as a related list for a better 360 degrees view. You can associate activities with modules, such as leads, accounts, contacts, potentials, campaigns, etc.
You can perform the following operations in Activities module:
Navigating Activities
You can navigate activities from the Activity List.
To navigate activities
- Click the Activities tab.
- In the Activities Home page, under the Activity List section, select Tasks or Events from the View drop-down list to display the list of tasks or events respectively.
- In the Activity List section, click the Previous or Next link to access the respective list of activities.
Searching Activities
You can search the activities alphabetically or filling the required information in the Search box.
To search activities
- Click the Activities tab.
- In the Activities Home page, under Find Activities section, specify the search criteria in Search box and click the Go button. You can also use the alphabetical search links.
- In the Activity List page, a list of activities is displayed as per your search criteria.
Creating Tasks
Tasks are displayed under the Zoho CRM user's Home page, Activities page, and some of the related modules, such as Leads, Accounts, Contacts, etc.
List of Standard Task-related Fields
In the Task: Edit form, you need to specify the task-related information. The following table provides descriptions of the various fields in the form.

To create tasks
- Click the New Task link. Alternatively, click the Task button from records, such as leads, accounts, contacts, potentials, cases, and others.
- In the Task: page, specify the task-related information. Refer to List of Standard Task-related Fields section for more details about mandatory fields.
- Click Save. Task details are displayed in Activities page under Activity List.
Creating Events
Events are displayed under Zoho CRM user's Home page, Activities home page, Calendar, and other related modules.
You can perform the following operations in Events module:
- Create events (Form filling and quick create options)
- Search events (Alphabetical/Advanced search)
- Navigate events through Events List
- Associate events with other records

To create events from Activities
- In the Zoho CRM Home page, click the New Task link. Alternatively, click the Task button from records such as leads, accounts, contacts, potentials, and trouble tickets.
- In the Task: page, specify the task-related information. Refer to the List of Standard event-related Fields section for more details about mandatory fields.
- Click Save. Task details are displayed in Activities page under Activity List section.
To create events from Calendar
- Click the Calendar.
- In the Calendar page, by default, Day View is displayed. Click the time (for example 08:00 hrs), at which you have to set up a event.
- In the pop-up dialog, select the event option, type the subject in Subject field, and click the Save button.
- In the Activity <event Name> page, click the Edit button to update the event details.
- In the Activity <event Name> page, enter the other event related details. Refer to List of Standard event-related Fields section for more details.
- Click Save.
Note: Events get closed at the specified elapse time and date by itself. There is no status update for the events.
Deleting Activities
Occasionally, you may need to remove some of the unnecessary activities from the Zoho CRM system for a better user experience. You may consider removing activities that are not useful for future reference.
Warning: Deleting activities is a destructive operation, hence use this option judiciously. |
To delete activities
- Click the Activities tab.
- In the Activities: Home page, select the activity.
- In the Activity: <Activity Name> page, click Delete.
- In the Confirmation dialog, click OK to delete the activity permanently.
Printing Activity Details
You can view a printable form and print the activity details using browser’s Print function.
To print activity details
- Click the Activities tab.
- In the Activities: Home page, under the Activity List section, select the required activity.
- In the Activity: <Activity Name> page, click the Print Preview button.
- In the Activity: < Activity Name> page, click the File -> Print Page button to print the document.
Customizing Activities

Customization of the activities module includes, renaming the tab name, modifying the pick list values in standard fields, adding new custom fields, and modifying activities (tasks and events separately) page layout as per activity management requirements.

Yes. You can set remainder in Zoho CRM. You can set a remainder for a Task or an Event and specify a date and time to remaind you at that particular time from a lead.

How can I jump to a specific date/month in calendar view without having to clunk through month by month using the forward/back arrows?

Currently you can either select the date using the available calendar or you can enter the date directly in the date field. We will consider your request and will try to improve it in our future updates.

I'm evaluatiing Zoho CRM for my company. Everything seems to work quite well except the Calendar. I have found two issues:
First: I have entered several events to my Calendar and I can see them in the daily view. But some of them are missing from the weekly and monthly views. This seems to be an error.
Secondly: I have a meeting with my two partners. How can I make a common event, so that they see it in their own calendars?

You may create an event and clone that event and change the event owner to your partners and save it so that the events will get reflected in their calender.

You may goto Setup --> (module) Settings --> Edit Page Layout and move the mouse cursor on the school name and click on the Edit icon to select the Mandatory box. You may add a custom pick list for the school names in which you can have all the school names to search for it.
You may change the name of the Description to school name from Setup --> (Module) Settings --> Edit Page Layout and move the mouse cursor to the Description and click on the Edit icon to change the name of it to School name.
Currently providing color for different events is not available. We will consider your request for our future releases.

I would like to define the field "Send Notification Email" to other elements as well, e.g. in sales orders where a time limit expires. I definied a custom field named "Send Notification Email" as a boolean, but how do I implement the functionality?

Hi Radostina,
You may use the Workflow Settings from Setup --> Workflow Settings and create a Workflow Rule and a related Workflow Alert for the Sales Order to receive the email notification. Customizable "Send Notification Email" option is currently not available.

You will be able to see all the Tasks & Events in the activities tab as they will be related to the records that you have in your account. You may create a new view with criteria stating that the status doesn't contain closed.

Is there a way to create a task for ALL contacts at once without just assigning it to 50 contacts at a time? otherwise, I have to create the task 50 times.

Yes. You will be able to create Tasks for the contacts in a single shot using the Create Task option that is available in More Actions button. Select all the contacts in the contacts tab and click on More Actions button and select Create Task.

when you set an event for several hours or days, it does not occupy the space in the calendar, causing confusion for others scheduling for me. It would be great if the event spread across the times entered on the calendar as well as warning of conflict if such exists. Are these in the works? I like the Zoho Business Calendar more than this CRM calendar (calendaring is an important feature for my organization). Is there any plan on improving the calendaring features?

How can I add additional contacts to an event? The invitee lookup field only gives the options of inviting employees. Is the functionality to invite additional contacts to an event on the road map?
I have seen it done in other systems. The invitees are a combination of internal users and contacts.

The invitees feature is to send invitation to the internal users of your Zoho CRM account.
